Requirements vary depending on the document, destination country and receiving authority. Before arranging an appointment, please send us the documents together with any instructions received from your overseas lawyer, bank or receiving organisation.

What to Send Before Your Corporate Appointment

To review your enquiry, please provide:

  • A scan or clear photograph of each document requiring notarisation

  • The country where the documents will be used

  • Any instructions received from the overseas lawyer, bank or receiving authority

  • The company name and Companies House registration number

  • The company’s incorporation documents

  • Identification and proof of address for each person signing

  • Evidence confirming the signatory’s authority to act for the company

Evidence of authority may include:

  • A board resolution

  • A corporate power of attorney

  • Company minutes or shareholder resolutions

  • Another document confirming the person’s appointment and authority

Accepted identification documents normally include:

  • A valid passport

  • A valid national identity card

  • A photographic driving licence

Accepted proof of address normally includes:

  • A utility bill

  • A Council Tax bill

  • A bank statement or letter from the bank dated within the last three months

Original identification and relevant company documents may need to be presented at the appointment. Additional company or ownership information may also be required to satisfy the notary’s professional and regulatory obligations.

For overseas companies, please provide the available constitutional documents and a recent extract from the relevant company register. A certified translation may be required if the documents are not in English or Polish.


What Happens During the Corporate Notarisation Process

Once the documents and company information have been reviewed, we will confirm the likely process, quotation and timescale.

The notary may need to:

  • Conduct a Companies House or overseas company-register search

  • Verify the company’s legal existence

  • Confirm the signatory’s identity, position and authority

  • Review the requirements of the receiving country

  • Contact the overseas lawyer or receiving authority for clarification

  • Witness the document being signed

  • Prepare and attach the appropriate notarial certificate

The notary’s role is limited to the notarial and procedural requirements of the document. Advice about the underlying transaction, the contents of the document or foreign law should be obtained from the company’s legal advisers in the relevant jurisdiction.

Where no further legalisation is required, the completed document can usually be provided following the appointment. If an apostille or further embassy or consular legalisation is required, we will explain the available options and likely timescale.

Apostille and legalisation

Depending on the destination country, the notarised corporate document may require an apostille from the Foreign, Commonwealth & Development Office or further legalisation through an embassy or consulate. We can explain the likely requirements and assist with the legalisation process.

Urgent, mobile and out-of-hours appointments

Urgent appointments may be available for straightforward corporate documents, subject to receiving all required information and completing the necessary company and identity checks.
